Administrative Assistant

Grant Thornton’s Outsourcing Services practice is continuously growing, offering high quality services to our clients, committed to “making a difference every day” and is currently seeking to employ an Administrative Assistant (client facing role).
The role in more details:
Administrative & Business Support: Coordinate meetings, calendars, agendas, minutes, documentation, correspondence, records, and electronic signatures.
Commercial Operations & Procurement: Maintain trackers, dashboards, reports, and commercial data; support quotations, purchase orders, inventory, promotional materials, deliveries, and goods receipts.
Events & Congresses: Coordinate meetings, congresses, and commercial events, including participants, communications, materials, suppliers, registrations, and logistics.
CRM & Commercial Excellence: Administer CRM users, roles, permissions, territories, customer assignments, interaction plans, and commercial activities; provide first-level support and reporting.
Data, Reporting & Documentation: Extract, analyze, validate, and report business data; maintain accurate documentation, databases, SOPs, and operational trackers.
Stakeholder & Vendor Management: Coordinate effectively with commercial teams, supply chain, warehouses, vendors, logistics providers, and external partners to ensure smooth execution and issue resolution.
Systems & Process Improvement: Support system updates, testing, troubleshooting, process enhancements, data quality, and initiatives that improve operational efficiency
To be successful at this role you need the following :
University degree in Business administration, Management, Marketing, Economics, Life Sciences, or a related field preferred.
2+ years in administrative support, commercial operations, sales support, CRM coordination, or similar roles, ideally within a fast-paced, cross-functional corporate environment.
Strong Microsoft Office skills, particularly Excel, PowerPoint, Outlook, and Teams; experience with CRM/business systems, databases, reporting tools, procurement processes, and document/e-signature platforms.
Excellent planning, organization, attention to detail, and ability to manage multiple priorities and deadlines.
Strong communication and stakeholder-management skills, with the ability to work effectively across teams and with external partners.
Proactive, customer-focused approach with strong problem-solving skills and an interest in process improvement and operational efficiency.
